Data Protection & Security

Granthi Privacy Policy

Effective Date: May 25, 2024 · Last Updated: 2026

1. Introduction

At Granthi, we are committed to protecting patron and institutional privacy and maintaining rigorous data security standards. This Privacy Policy explains how we collect, use, and safeguard your information when you use our web applications, mobile tools, and related library services (collectively, the "Services").

Multi-Tenant Data Guarantee: All institutional database partitions are isolated. Your library's patron records, borrowing histories, and internal ledgers are private to your library's authorized administrators and staff.

2. Information We Collect

  • Patron & Staff Information: Name, institutional ID/membership number, email address, phone number, and access role configured by library staff.
  • Bibliographic & Circulation Records: Accession numbers, titles, issue dates, due dates, return timestamps, and overdue penalty audit logs.
  • Usage Information: High-level system interaction logs to maintain operational reliability, security auditing, and server health.
  • Device Information: Operating system and browser version for layout rendering and barcode camera scanner optimization.

3. How We Use Your Information

We use collected data strictly to provide, maintain, and improve the Services, including:

  1. Delivering core circulation, cataloguing, and patron self-service workflows.
  2. Generating statutory compliance registers (GFR Rule 215, cash ledgers, weeding audits).
  3. Dispatching authorized patron due date reminders and loan renewal confirmations.
  4. Troubleshooting technical inquiries and maintaining cloud backup integrity.

4. How We Protect Your Information

We employ industry-standard encryption, role-based access gates, automated database replication, and regular security audits. Access to institutional databases requires authenticated staff credentials with granular permission flags.

5. Your Rights & Choices

Subscribing institutions own their bibliographic and circulation data at all times. Administrators can export their full dataset via MARC21 or CSV format at any point during their subscription. To request account deletion or data portability assistance, please contact our support desk.
